1. What ColdReach is for
ColdReach is for relevant business to business outreach, meaning emails to people in their professional role about products and services that matter to that role. Every email you send must follow the laws that apply to you and your recipients, including the CAN-SPAM Act and the GDPR. Our CAN-SPAM and GDPR for cold email page explains how the product supports these rules.
2. Lists you may not use
- No purchased, rented or scraped lists of consumer addresses, meaning private, personal or non-business email addresses.
- No lists collected without a lawful basis, harvested from sites that forbid it or obtained by guessing addresses at random.
- No lists of people under 18.
- No contacts who are on your suppression list or our global suppression list.
3. Honest emails only
- No deceptive subject lines that misrepresent the content of the email.
- No false or misleading headers, sender names or reply addresses.
- No hiding your identity or the business you represent.
- Your own valid physical postal address in your signature settings, which ColdReach adds to your emails.
4. Unsubscribe and opt-outs
Every email must carry the unsubscribe link that ColdReach adds. Do not remove it, hide it or make it hard to use. Honor every opt-out, whether it comes through the link, a reply or any other channel. ColdReach suppresses unsubscribed contacts immediately and you must not add them back, import them again under another list or contact them from another account or tool.
5. Content we never allow
- Harassment, threats, hate speech or abusive messages.
- Illegal content and offers of illegal products or services.
- Phishing, credential harvesting, impersonation of another person or business, and fraud.
- Malware, malicious links or attachments, and links that hide their destination to deceive.
- Adult content, gambling offers, weapons, drugs, debt relief schemes, get rich quick offers and other high risk content.
6. Sending limits and safety controls
Do not circumvent sending limits, per-mailbox daily caps, ramp-up, mailbox rotation or automatic pausing. Do not connect mailboxes or domains you are not authorized to use, open several accounts to multiply limits, or move a paused campaign to fresh mailboxes to keep sending. When ColdReach pauses a mailbox because bounces or complaints rise, fix the cause before you resume. Read more on our email deliverability page.
7. LinkedIn
LinkedIn steps in ColdReach are manual tasks that you perform yourself. Do not use ColdReach, browser extensions connected to it or any other method to automate actions on LinkedIn through the service. Follow the LinkedIn user agreement when you complete these tasks. Read more on our LinkedIn outreach page.
8. Data and the service itself
- Do not resell, publish or share records from our prospect database outside your account.
- Do not scrape the app, overload it, probe it for weaknesses or access accounts and data that are not yours.
- Do not use the service to build a competing database or product.
9. How we enforce this policy
We monitor bounce rates, complaint rates, spam reports and signs of abuse. When we see a problem we may pause a mailbox, stop a sequence, suspend sending or suspend the account, and we tell you why and how to fix it where we can. We terminate accounts for serious or repeated violations. A suspension or termination for violating this policy does not give a right to a refund under our Refund Policy.
10. Reporting abuse
If you received an email sent with ColdReach that breaks this policy, write to support@coldreach.com and include the full email if you can. We review every report and add you to our global suppression list on request.
11. Changes to this policy
We may update this policy. We post the new version on this page with a new date. See also our Privacy Policy and our cold email software pricing.
