Cold outreach automation from your first list to booked meetings
ColdReach runs the whole outbound loop in one place. You pick the people you want to reach, ColdReach verifies their addresses, AI models write a personal email for each prospect from their company website, your own mailboxes send at a safe pace, and every reply lands in one inbox that syncs with your CRM. You stay in charge of every step, and nothing goes out before you approve it.
-
Step one, build a list of decision makers
Start with the people who can buy. Filter companies and contacts by industry, job title, seniority, company size, country and technology hints from the company website. Every record comes from lawful sources, public company websites, public business registries and licensed business data partners, and shows its source and last-checked date in the app. Read more on the ai lead generator page and the b2b contact database page.
- Filters for title, seniority, size, industry and country
- Saved lists you can reuse across sequences
- CSV import for the accounts you already own
-
Step two, verify every address before it enters a sequence
A bounced email costs you more than a skipped one. ColdReach runs syntax, domain, MX and mailbox checks on each address before it joins a sequence, and flags risky and catch-all addresses so you decide what to do with them. The email verifier runs inside the same workflow, so you never export a list to a separate tool.
- Valid, risky, catch-all and invalid results per contact
- Invalid addresses stay out of your sequences
- Each verification counts toward your monthly plan allowance
-
Step three, write a personal email for every prospect
For each prospect, ColdReach reads the company website and public company profile, then writes a first line and a tailored body in your voice. You set the tone, the offer and the call to action once. The ai sdr drafts, you review, edit or approve. By default a human approves AI emails before the first send.
- First line based on what the company actually does
- Body adapted to the role you are writing to
- Edit any draft before it goes out
-
Step four, send from your own mailboxes with ramp-up
ColdReach never sends from its own mail servers. You connect your own Google Workspace or Microsoft 365 mailboxes by OAuth, or any mailbox by SMTP and IMAP. Sending volume ramps up gradually, rotation spreads sending across your connected mailboxes, each mailbox has a daily cap, and a mailbox pauses on its own when bounces or complaints rise. The email warmup tool page explains the pacing in detail.
- Multi-step sequences with delays and conditions such as replied, bounced or clicked
- LinkedIn steps as manual tasks the rep completes
- An unsubscribe link in every email
-
Step five, handle replies and sync your CRM
Replies from every mailbox arrive in one inbox. AI sorts them into interested, meeting request, not now, wrong person, unsubscribe and out of office. Unsubscribe requests suppress the contact immediately, across every sequence. Contacts and activity sync with popular CRMs, and analytics show sent, delivered, bounced, replied, positive replies and meetings per sequence, per mailbox and per rep.
One workflow instead of five subscriptions
Most outbound teams pay for a contact database, a verifier, a writing tool, a sequencer and a warm-up add-on, then copy lists between them. Each handoff loses data and time. ColdReach keeps the list, the verification result, the draft, the sending schedule and the reply in one record. When a prospect replies, you see which list they came from, which email they answered and which mailbox sent it.
- One bill per team plan, not per seat
- One record per prospect from first filter to last reply
- One place to pause everything when you need to
Automation with a human in the loop
Automation handles the repetitive work. Research, drafting, verification, scheduling, rotation and reply sorting run on their own. Decisions stay with you. You approve the drafts, you choose who enters a sequence, and you decide how to answer an interested prospect.
How a rep uses the five steps across a week
On Monday the rep builds a list for a new segment. On Tuesday ColdReach verifies it and the rep removes the risky contacts. On Wednesday the rep reviews the AI drafts and approves them in batches. On Thursday the connected mailboxes send within their daily caps. On Friday the rep works through the classified reply inbox and the meetings sync to the CRM. The next week the same sequences keep running while a new list starts.
Plan allowances measured per billing period
Every plan has clear monthly allowances for verified contacts, AI-personalized emails and email verifications. Starter includes 500 verified contacts, 1,000 AI-personalized emails and 1,000 verifications a month with 3 connected mailboxes. Growth includes 2,500 contacts, 5,000 AI emails, 5,000 verifications and 15 mailboxes. Usage counts as consumption in the billing period, so deleting a contact or a draft does not return quota. See every plan on the cold email software pricing page.
| Plan | Monthly | Yearly per month | Connected mailboxes |

Questions
Does ColdReach send emails from its own servers
No. ColdReach sends only from the mailboxes you connect, by OAuth for Google Workspace and Microsoft 365, or by SMTP and IMAP for any other mailbox.
Can I edit the emails before they go out
Yes. By default every AI email waits for your approval before the first send, and you can edit the subject, first line and body of any draft.
What happens with LinkedIn steps
LinkedIn steps appear as manual tasks, such as view profile, connect or message. The rep completes them. ColdReach never logs into LinkedIn for you.
What happens when someone unsubscribes
Every email carries an unsubscribe link. When a contact unsubscribes, ColdReach suppresses them at once across all sequences and mailboxes.
